Here are a few tips and tricks on delegating your party planning in order to host a fun, productive and successful event. 

Define the Goals of Your Event

Depending on the type of event you are hosting, you may have a specific goal or mission in mind. For instance, a corporate event may be geared toward encouraging workplace camaraderie or welcoming new team members while a school event may merely provide fun and entertainment. 

Once you have defined your goals, it becomes infinitely easier to plan your event. Be sure during this stage of your planning that you communicate your goals to the entire planning team so you are all on the same page and have a common goal in mind. This will help keep you on track and moving toward that goal. 

Identify The Skills of Your Planning Team 

There may be a number of people on your planning team who are tasked with making sure your event goes smoothly. As you begin your division of tasks, start to assess what skills each planning team member has. Some may be great at organizing and setting a timetable while others may be good at making calls and connecting with vendors. 

Once you have been able to talk with your planning team and identify what they excel at, you can start assigning tasks.

Assign Tasks and Due Dates 

As a planning team, you should start brainstorming all the tasks that will need to be completed in the weeks and days leading up to the event. This might look like large general tasks such as booking the venue as well as smaller tasks like sending invites to guests. The more detailed your list is the more in control you will feel. 

Once all the tasks are listed it is critical that you organize them into categories and assign them a due date. With a list that is detailed and grouped by type of tasks and when it needs to be completed, it will be easier to start assigning these tasks to team members. 

Regular Check-Ins

As a planning committee, it is important to have regular check-ins to confirm if tasks have been completed and if there have been any challenges that the committee can take on as the event draws near. 

Check-ins may be every few weeks for events that are being planned long term and then more frequent check-ins as the date gets closer. 

Utilize A Communication Manager 

Many teams that are planning an event utilize a communication manager and planning software.
